Guide

If outbound did not work before, examine the trigger.

Hiring-signal outreach starts with a relevant vacancy, then connects your approach to that specific need. Generic list-based outreach may reach a company without evidence that it is hiring now. The signal improves the reason and timing for contact, but a suitable company, the right person and a credible message are still necessary.

Look at the previous campaign before changing the tool.

Ask whether the companies were actively hiring, whether the roles matched your agency's strengths, whether you contacted the appropriate people and whether your message made a useful offer.

A disappointing campaign does not establish that every form of outbound will fail. Equally, automating the same weak targeting does not resolve it.

A vacancy changes the context.

A static list can describe a company's industry or size without showing what it needs today. A relevant new job posting adds a current reason to make contact.

RecruitScout uses that job-portal signal to guide targeting and personalised outreach. Inga's case study describes shifting attention away from accounts that were not ready and towards decision-makers with an active vacancy.

Timing matters alongside relevance.

Manual delays can accumulate between seeing a vacancy and writing to the appropriate person. Linking monitoring, contact discovery and sending makes that route more consistent.

There is no universal deadline after which every opportunity is lost. The homepage's comparison is an illustration, not measured conversion research. Judge your own results by the relevant replies and client conversations the process creates.

Define what success means before launch.

Distinguish a sent message from a delivered message, a positive reply from an attended meeting, and an agreed search from a completed placement.

Review both the quality of the opportunities and what your team does after a reply. RecruitScout supports the research and outreach process; the client relationship and sales follow-through remain with your agency.

Inga.

“As a founder, I am approached by the latest cool software 3 times a day and we are absolutely not novices to outbound, so my standards are high. What I love about RecruitScout is how it completely solves the timing issue. Instead of wasting our team's time chasing “not yet” accounts, we now reach the actual decision-maker the moment they have a vacancy... without lifting a finger. On top of that, the team is fantastic, they genuinely roll up their sleeves to help you launch campaigns and book meetings. Best tool I’ve seen in the HR-tech space.”
